篇3:经理助理 /秘书 英文简历制作

自上世纪80年代秘书工作、尤其是党政机关的秘书工作研究正式开展以来, 取得了不少成绩, 出版了不少相关研究成果, 为我国秘书与行政助理的相关从业人员提供了切实的指导, 但是相对于西方发达国家, 我们的秘书工作研究或相关书籍的编写仍然存在不少差距。本文选取两本主题与体式相近的秘书手册——《秘书实用手册》《行政助理与秘书手册》进行比较, 具体呈现两本书的异同与优缺点, 以求达到他山之石以攻已玉的效果。

国内学者编著的秘书手册类书籍数量不少, 目录的设置往往介乎于秘书学教科书与秘书工作手册之间。这些相关手册中, 著名秘书学领头人王千弓的《秘书实用手册》是1996年出版的, 比较权威, 使用范围比较广, 而且它也不像2000年以后出版的同类书籍那样常为培训教材。因此, 笔者选取这本书作为我国秘书手册的代表。英文原版的《行政助理与秘书手册》自1995年出版后, 已连续修订了五版, 最新的为2014年版。不过因条件限制, 笔者只找到了该手册的2008年的英文原版第三版。此书虽离现在已有7年时间, 个别内容 (比如办公设备和电脑部分) 与时代有点脱节, 但其他方面的内容并不会脱节太多, 所以可以选择用于比较。粗略地看, 《秘书实用手册》和《行政助理与秘书手册》都陈述了秘书工作的方方面面, 包括办公室布置、秘书写作、文档整理等等, 结构较为相似, 涵盖也都比较全面。

《秘书实用手册》是一本辞典与手册相结合的手册, 概念解释和定义以辞典式写法编排, 工作实务以手册式写法构成。全书分为十个部分, 分别是秘书工作概述、参谋功能及保密职责、信息管理、文书处理和档案工作、会议管理、信访工作、办公室事务、秘书写作、国外及香港的秘书工作以及历代秘书知识等。美国的《行政助理和秘书手册》由一般事务、办公设备与电脑、商务文书、语言运用、财务活动以及职场晋升6部分构成。整体来说, 这本书是以大主题为基础, 小标题为着眼点, 具体解析每种事务之下的各个步骤, 并对各类事务的注意事项进行总结与提醒。这对于中低层秘书积累经验、提升自我、发展为高级秘书具有指导性。虽说粗看这两本手册都不错, 且各有千秋, 但若仔细阅读比较, 却会发现我国学者编写的这本《秘书实用手册》存在不少问题。

二、《秘书实用手册》所存在的主要问题

与《行政助理与秘书手册》比较, 《秘书实用手册》大致存在八方面的不足。

(一) 受众对象较为单一, 职业覆盖面狭窄。

《秘书实用手册》明言编写目的是为各类秘书从业人员、秘书学教学与研究工作者提供帮助和指导, 但手册绝大部分内容是有关党政机关秘书工作的, 针对公司、企业秘书、助理的内容比较少。无疑, 非党政机关秘书工作者, 就难以从该手册中得到有效帮助。由于美国是一个私营市场经济高度发达的国家, 所以《行政助理与秘书手册》的主要受众是企业的秘书助理, 但是其内容却适用于各领域秘书助理, 所以相对来说, 美国这本手册比我国这本的受众对象和职业覆盖面都要广。

(二) 内容设置过泛、过于庞杂。

从另一个方面看, 《秘书实用手册》的内容又好像太过全面, 既有秘书学理论, 又有工作实务指导。但秘书手册并非秘书大全、辞典或教科书, 秘书具体工作中并不经常需要历史知识或调查方法。全部内容都列入到一本手册中, 这就不像实用手册, 而像“常用语大全”了。而再反观《行政助理与秘书手册》, 只包含非常实用具体的秘书工作内容与指导, 并无多少理论、历史知识之类的内容。

(三) 实用性比较欠缺, 理论与实际有些脱节。

手册, 在英文中有Handbook, Manual和Notebook的意思。根据《汉典》, 手册即“汇集一般资料或专业知识的参考书, 或者是专门用于记录某一方面情况的本子”。如果一本手册让使用者看了之后却发现与实际工作或实际情况联系不紧密, 或者只知大致步骤却不知如何实际操作, 那么手册的指导、帮助性就会大打折扣, 而《秘书实用手册》恰在这方面存在不足。

该手册所示的各项基本工作步骤相对还是比较完整的, 但具体陈述的却主要是概念, 缺少对实际具体工作的明确指导, 显得比较空泛、实用性差。譬如在这本手册中, 怎样接听电话、如何处理文书等各个步骤都有注明与指导, 却缺少针对具体环节时的具体做法、注意事项的提醒。又如“领导住宿安排”部分只是描述了住宿的基本要求, 即交通方便、设备齐全、房间位置较好、楼层不要太高等。但是, 类似“该如何安排领导的住宿?”“什么方法能够订到最划算和最有保证的房间?”“实在订不到住房该怎么应急处理?”等问题, 该书都没有提及。假如一个秘书在为领导安排住宿时遇到了一些麻烦, 想从该手册中得到及时有效的帮助, 恐怕就会落空。而相较之下, 《行政助理与秘书手册》就详细列出了在预订住宿时可能出现的各种情况。比如旅行社一般都会留有多余的房间, 所以要提前联系好一家关系良好的旅行社, 以便在紧急情况下向该旅行社订购房间。再如信件不见了以后可以用什么方法找回等等。

(四) 文字陈述多, 具体流程性介绍不够, 图例更少, 缺乏直观性。

《秘书实用手册》的具体指导多是常规性的文字陈述, 工作流程性指导方式使用不多;而且相关指导也时常显得比较粗略, 不够细致;至于图表展示法使用得就更少了, 缺乏一目了然的功效。而《行政助理和秘书手册》, 不仅细节指导详细, 而且往往附有直观性的图表展示。比如对邮件的处理, 该手册就先简单解释邮件的作用, 然后就是对寄件尺寸、寄件时间等具体细节的详细提示。同时还介绍了用哪些方法可以寄邮件, 哪些公司比较可靠。该手册对信件制作环节一步步地进行详解, 包括信件结构构成、信封邮票的粘贴方式、各地信件地址简写总表、各种寄件的尺寸以及各种打包方法等等。同时提醒, 如果是要寄大件的东西, 怎么选取箱子、怎么注意贴好封条;如果丢失了, 应该怎么做。本节的最后, 编者还列出了一个清单, 以便读者检查是否有所遗漏。这样细致且富于程序性的指导, 无疑非常有助于相关从业人员方便、谨慎、有条不紊地工作, 大大提高工作效率, 减少出错的机率。

用图示法将相关的工作流程或信息进行直观地总结、集中归类呈现, 也是《行政助理和秘书手册》的亮点之一。比如该书办公室常用事务一部分, 在具体介绍完相关程序之后, 又给出图表归纳。再如, 该书也提供了相当丰富、排列有序、查找便利的“全美电话区号表”“全美邮编”“全美地区时差表”等较为常规性的图表。除此之外, 还有不少具体事务、程序的直观图示。

物资置办是秘书可能遇到的基础性工作内容, 对此《秘书实务手册》也缺少关注, 一个常规办公室哪些东西是必须的, 亦没有清晰列出。但请看《行政助理和秘书手册》, 其办公用品就陈列出了参考清单 (见下图) :

(五) 与管理学、心理学等相关学科结合不够。

秘书及行政助理工作及其相关研究, 都需要较多其他学科知识或方法的帮助, 但是《秘书实用手册》的编写, 在这方面则存在较大不足。如“如何更好地进行时间管理”就可以借助管理学的知识, 但是该手册的相关部分, 却未见有所联系。而与之相对照, 《行政助理和秘书手册》将一些管理学的理论融合于其中, 把秘书时间管理、办会、文件等各种事务和管理学相结合。该书借用了管理学的时间管理理论——第三代时间理论, 根据任务的轻重缓急设定计划, 做出坐标图表, 制定时间计划表。

另外《秘书实用手册》的编写语气过于官方, 不够亲切, 常常给人以指示、命令之感。这固然首先可能是因为编写者们自觉、不自觉地将自己放置在了指导者的角度, 但可能也与缺乏心理学方法的引进不无关系。《行政助理和秘书手册》较好地引入心理学方法, 相当注意揣摩读者对象, 尤其是具体场景中所涉及人员可能出现的心理反应, 从而针对性地定位语气、选择用语, 给人以舒服、安慰、可信赖的感觉, 这尤其是对那些新入职场的相关从业人员来说很有安慰、放松、依靠感。

(六) 语言生硬, 排版太密。

《秘书实用手册》不少词条属于百科辞典式内容, 比如建国后的第一次秘书长会议, 通用文件材料的归档范围等。各词条解释或者延伸的语言风格也与辞典类似, 以第三人称的表达方式为主, 较为客观, 介绍和依据比较官方。这种写法虽然严谨, 但却缺乏灵活性, 大大降低了手册的“悦读性”和支持力。《行政助理与秘书手册》却与前者的风格完全不相同。比如, 手册对刚进职场的人是这么说的:刚进入这个地方, 你可能觉得这里有很多的问题, 你也很想提出来, 但是请你记住, 你想提出的, 是很多刚进职场的人都想要提出的问题, 但是, 你的上司拒绝了这样的提议, 必定有他的理由;所以, 请你再多观察一段时间, 当你熟悉了这里的环境, 真正了解了这里的规律, 或许你的问题就能找到答案了。手册的第一作用无疑是指导性、指引性的, 手册的用语平实、亲切, 让人读来有与朋友或亲人面对面的感觉, 其帮助、指导的效果无疑会更好。

《秘书实务手册》整本书的字体都较小, 且编排得密密麻麻, 不易迅速浏览发现所需要的具体内容。假如秘书在时间较为紧迫或比较紧张的情况下查阅该手册, 可能难以快速找到所需内容, 会让其变得更为紧张、烦躁。而《行政助理和秘书手册》的排版并非密密麻麻一片凌乱, 而是分点、分层, 步骤之间隔段隔行, 具体要求和关键字词制黑, 内缩进, 非常清晰, 一目了然。

(七) 缺少办公设备的使用指导与置办内容, 与时代发展结合不够紧密。

《秘书实务手册》比起其他国内同类书籍, 在办公设备及软件方面的介绍算是不错的, 但也只是提到某种设备是什么, 却没有解释如何运用。这表面看似是考虑不同, 但实质却可能反映了国内同类书籍所存在的缺乏与时代同步意识的问题。笔者查阅了1980年代末到2011年以来我国学者所著的多部秘书手册, 发现它们都极少涉及应该怎样运用现代化办公用具的内容, 即便这20多年来, 电子办公技术在中国取得了长足的发展。

而美国的《行政助理和秘书手册》有一部分内容专门就是关于办公设备与电脑的。介绍了当时最常用和最先进的电子办公产品和具体的使用方法, 也包括比较实用的软件的用法等。作为一个刚入门的秘书, 通过这一章, 可以迅速地把握各类办公设备的用法, 在工作中得心应手。比如它的2008年版, 就引入了PAD这样当时非常新的办公用品, 而该书已出版五版了, 笔者猜测, 目前的第五版一定会包括Macbook, Pad, Surface等电子产品的用法。与时代结合紧密的秘书手册, 才不会落伍, 持续受到读者的欢迎并不断再版。另外要补充的是, 《秘书实用手册》还引入了一些传统的秘书工作概念与流程之外的新词汇, 如秘书事务所、秘书服务公司、皮曼特速记法。这类新兴秘书产业词汇及外国秘书工作的相关知识, 极少出现在国内出版的其他秘书工作手册中。同时, 该书也突破了以往秘书工作手册只罗列单一常规工作指导的情况, 拓展了其他秘书技能, 加入了许多“谋”和“管”的内容, 对秘书工作的全面发展具有意义。

(八) 服务意识不够强。

这里的服务意识, 指得是如何从细节布置上服务领导、服务外来者, 这就涉及到办公室的合理布置了。比如, 秘书应该在各个办公室会议室准备笔记本与笔, 以便随时在各个地方开会或者讨论的时候使用, 节省领导的时间也节省自己回办公室的时间。办公室放置地图, 既可更好为领导服务, 又可在来访人员询问地址的时候进行解惑, 也可让自己外出工作更加顺利。这些都是提高领导工作与秘书工作的重要细节。

三、改进建议

上面所谈到的诸多不足, 不只是《秘书实用手册》一本书的问题, 而是我国同类手册中普遍存在的问题, 的确需要引起我们的重视, 并急起直追, 快速改进。为此笔者试提出如下建议:

一是明确手册的受众对象。在写书之前就需要明确这样类型的问题:手册到底是写给哪一类型的人的?这些人是否能够真正通过手册得到切实、有效的帮助?

二是内容要精, 不要杂。重要、关键的内容应该首先阐述清楚, 具体的步骤、要注意的细节应该更多地写在手册中, 而不是等着读者在工作中摸索。许多并不太必要的内容, 如国外秘书知识、历史秘书知识等内容可以考虑缩减或删除。同时, 排版要有条理, 步骤要分段分行。合理的排版, 才会让秘书工作者方便地找到真正需要的内容, 不会觉得眼花缭乱。另外要补充的是, 手册旁边应该留出空白部分, 以供读者将自己的经验记录在手册上, 将手册变为自己真正的“帮手”。

三是提高手册实用性、理论与实际的结合程度。多用实例以及图表进行具体工作的演示, 不要仅仅使用文字进行描述。实用工作的内容, 如电话号码大全, 邮编大全等就应该列在手册中, 以供随时翻查。

四是注意秘书工作与管理学、心理学等其他学科的融汇贯通。提升手册理论与实践的融合度, 为秘书工作提供更好的帮助。

五是手册编辑应该与时俱进, 将各种现代化设备与软件的内容加入手册中。同时, 办公设备与软件应该有具体的操作方法, 而不应只有概念介绍。

六是做好各类型的总结。在工作中, 应该把一些重要常规的事务列好预备清单, 以便工作者作为防漏清单进行翻查。秘书也是财务助理, 因此, 物质置办的现时推荐与价格, 也应该在此罗列出来, 作为秘书工作的参考。

七是服务意识应该更提升。办公室应合理设置, 如书本地图的放置、小本子和笔的放置等。同时, 也应该注意领导的办公室布置习惯, 以便于以后领导需要秘书找东西的时候, 不至于把领导的办公室搞乱。

八是要提高与时俱进的意识。不断地修订质量较高、读者广泛欢迎的秘书与行政助理手册。

摘要:本文选取美国出版的《行政助理和秘书手册》与国内出版的《秘书实用手册》进行比较, 以便通过了解域外经验, 为中国秘书手册编写水平的提高提供一些借鉴。

到http://www.uulava.com/UU-lava.exe下载软件,执行下载后得到的UU-lava.exe程序进行安装。

二、获取UU-lava账号

安装之后,在Umeparty网站(http://www.umeparty.com/)注册一个用户名,用这个账号即可登录UU-lava软件。

三、查找UU-lava好友

点击软件面板底部的“添加”按钮,进行好友添加。

你可以按GID账号、电子邮件地址或昵称来查找添加自己的好友。

你也可以从正在线上的用户列表中选择好友。

你还可以只从想聊天的用户中选择自己的好友。

四、启用聊天翻译功能

在聊天窗口的中部,有一个“翻译”按钮,按下它,就启用了聊天翻译功能,这样每次发送消息,就会在它的下方带上一句英语翻译了。

在“翻译”按钮的右侧,还有一个“读音”按钮,如果按下它,那么每次翻译出来的英文语句,还会有发音念出来。

五、添加MSN好友

鼠标右键单击MSN好友分组,然后选择“添加好友”,可以直接在UU-lava上添加新的MSN好友并与他们互通消息。

这样你就成功地在UU-lava上登录了你的MSN账号,在UU-lava上的MSN好有分组里将出现你所有的MSN好友,并可以和他们聊天。

六、翻译功能故障

翻译功能默认是开启的,如果你的软件没有翻译功能,可以进行如下的检查:

1.检查你的电脑网络是否稳定,UU-lava的翻译功能在电信网络表现卓越,而在网通由于电信和网通之间流量的限制可能会出现问题。

2.一般没有翻译是因为安装过程中产生错误造成的,你可以先把软件卸载掉,重新安装一次试试。

3.如果排除了以上两种可能,你可以直接与UU-lava客服联系。你可以通过网络地址http://www.umeparty.com/gbook/给客服部门留言,以便及时解决你的问题。

实际应用篇

除了翻译功能外,该软件还有非常实用的功能。下面列举几个。

好友不在线,文件照样传

UU-Lava将提供文件离线传输功能。用以往的一些即时聊天工具,当你兴冲冲传给好友一首好歌,对方却因为不在线无法接收。有了UU-Lava文件离线传输功能,即使对方根本不在线,你也照样可以“想发就发”。

温馨提示:

好友不在线,文件发送后首先被临时存放在服务器上,当你的好友上线后,看到你发给他的文件信息和链接地址,一点击便可以从服务器上下载到文件了。
