篇3:出席商务会议的常用英语

一、明确工作目的

召开会议和举行活动, 是我国现行体制下部署开展工作、推进决策落实的重要形式。从邀请领导出席会议和活动的目的来说, 主要可分为“体现重视、动员总结、研究问题、解决困难”四类。根据每次会议和活动的侧重点, 围绕不同的主题, 不仅要体现在会议内容的组织准备上, 也要体现在邀请领导出席工作的过程中。

一般来说, 以体现重视为目的的会议和活动更多的是领导为了表明态度和营造工作氛围, 经常在常规性、惯例性、礼节性的工作中出现, 较少涉及具体的工作问题。后面三类则往往针对专项工作, 需要出席的领导对涉及的有关问题有深入的了解和分析, 因此在邀请领导的同时要根据领导需要做好准备工作, 尤其是要事先提供基础性材料或供领导决策的初步意见。

二、掌握工作原则

邀请领导出席会议和活动的工作流程有其共性, 其工作原则可以总结为“认真设计、合理安排、细致周全、顺畅进行”。

“认真设计”是要根据会议和活动的整体方案, 科学设计需要领导参加的环节和完成的任务。

“合理安排”是要根据领导担任的职务和年龄、性别等个人特点, 适当安排涉及领导的各项具体流程。

“细致周全”是要仔细考虑各项细节, 整合多方面资源, 充分做好工作准备。

“顺畅进行”是要尽量做好各个环节之间的衔接, 确保会议和活动顺利有序进行, 也是要实现的工作目标。

三、划分工作环节

根据会议和活动的实际特点, 一般可以将工作划分为三个环节, 称之为“三步走”, 即会议 (活动) 前、会议 (活动) 中、会议 (活动) 后, 主要对应的工作任务分别是“前期准备、调整控制和总结反馈”。

四、把握工作关键点

(一) 会议 (活动) 前。

此时工作的关键在于“准备充分”, 即邀请准备工作是否做到合理、细致和周全, 有以下几个关键点。

1.进行邀请。 (1) 在以单位或部门名义向领导发出邀请时, 一定要明确邀请对象的姓名和职务, 以及邀请该位领导是否需要本单位或部门领导的同意批准。 (2) 全面准备邀请材料。邀请一般以书面形式呈现, 可以采用邀请函或书面请示的方式, 所附的材料主要包括会议或活动的议程、讲话稿 (根据需要) 、车证及路线图等。 (3) 明确获知被邀请人反馈的意见, 据此做好后续准备工作。邀请时容易产生疏漏的地方有三处, 要特别予以注意, 即“三个没有”。一是邀请函或请示上没有写明所邀请领导要承担的工作, 是邀请领导主持?讲话?颁奖?还是仅仅出席会议和活动。二是没有写明邀请领导出席的具体时间、是否进入贵宾室、是否主席台就坐、以及着装要求等细节事项。三是没有写明会议和活动邀请方的联系人和联系方式。此外, 为便于领导掌握情况, 还可以注明参加此次会议或活动的其他领导。

2.主席台布置。主席台的布置是会场布置的重要关键。要严格按照确定的领导名单次序安排座次。一般主席台最普遍摆放形式如图1和图2所示。

同时, 要注意主席台领导桌签姓名是否准确, 以及话筒、茶水及材料的位置摆放是否合理有序。一般来讲, 要为有发言和主持任务的领导准备备用讲话稿或主持词。

3.迎接领导。要通过与所邀请领导的秘书或办公室工作人员联系, 提前获知领导、秘书或司机的联系方式。根据实际情况, 在所邀请的领导快要到达现场时, 通知邀请方领导, 做好迎接准备, 表达感谢和欢迎。

(二) 会议 (活动) 中。

此时工作的关键在于“调整及时”, 要根据情况变化随时调整, 做到快而不乱。

大型会议和活动涉及的出席领导人数多, 有时会遇到各种各样的情况变化, 包括主席台就座领导、发言领导发生变化, 会议议程中领导承担的任务有所调整等情况。

在这种情况下, 务必要提前考虑好预案, 做好充分准备, 一旦遇到情况变化不能慌乱, 要根据调 (下转第28页) (上接第40页) 整的内容落实好涉及的后续工作。如主席台就座领导、发言领导发生变化, 相对应的座次、名签、话筒等都要进行调整, 包括主持词、讲话稿可能涉及的内容也要进行修改。

(三) 会议 (活动) 后。

此时工作的关键在于“及时总结”, 要梳理归纳会议和活动召开举行的情况, 及时向有关领导和部门反馈。

一般情况下, 总结的内容包括会议和活动的信息或者新闻稿, 要确定是否组织新闻媒体宣传以及在多大范围内宣传;会议的讲话稿是否需要刊印下发以及是否需要领导重新审定;会议和活动有关的档案要及时存档备案。对于一些在会议和活动上领导所布置或明确要求反馈结果的工作, 还要及时联系业务部门, 做好后续工作跟踪、办理和完成情况的督查反馈。
