Covering letters: the beginning, core and ending

When you write a covering letter it is important to have a structure. A typical structure would have four paragraphs and should answer four “W” questions: What job are you applying for? Why do you want to work in this sector and organisation? What are you offering? When are you available for interview?

In your first paragraph you should state the job you are applying for and where you found it. Companies like to know which of their advertising sources is successful, so tell them if you found it online, through a newspaper or from another source. You should also inform them of when you are available to start.

In the second paragraph tell them why you are interested in that type of work and why the company attracts you. If, for example, it is a small company say you prefer to work for a small, friendly organization.

Summeriseyour strengths in the third paragraph and state why they would be an advantage in the job. You should match and relate your skills to the competencies that are required for the job.

In the final paragraph mention any dates that you won’t be available for an interview and remember to thank the employer and say you look forward to hearing from them.

You should use only one side of A4 paper and use the same font as you used in your CV.

When you start the letter, try to personalise it by finding out the name of the person to write to. One statistic states that a covering letter and CV

addressed to the correct person are 15% more likely to receive a reply and 5% more likely to get an interview. Remember when you start with a specific name, e.g. “Dear Mr. Jones”, you should end with “Yours sincerely”. If you can’t find the name and have to start “Dear Sir or Madam”, end your letter with “Yours faithfully”.

Here are some examples of popular ways to start a covering letter:

My name is ______ and I am writing in response to your advertisement我的名字是______。

I am writing in response to your advertisement in/for

Further to your advertisement in______, I should like to apply for

I am writing to enquire if you have any vacancies for_____

As you will see from CV

Power words are key words and phrases that you should try to use during the core part of your cover letter; paragraphs two and three. They will give your letter more impact; think about how you could use words like these:

Don’t try to use them all at once but they will help you create a more dynamic cover letter. Remember it is your letter, so use your own words not formal boring clichés. The tone of your letter should professional, positive and informative.

1、Why am I passionate to take this job?

Since my graduation from a vocational high school, my passion has been with English. Though, my major was computer, I harbored no illusions about computers as a profession.Learning English has intrigued me into doing the job which I can deal with people in English. As a bar waiter onboard, I have always been more than just a waiter, because I am eager to share my knowledge with them.

While some people take making more money for granted, I do not. I view my time on the cruise as an unparalleled opportunity to learn more about American culture and its language, but more importantly for the knowledge of a real China that I am able to provide to the American people.

2、Why am I qualified?

It is my passion, potential and perseverance make me qualified. Since I started working at the age of 18, I have been immersing myself in learning English and dealing with American people. More or less, I have accumulated some experiences in Foreign Affairs. It is also the primary reason for me to work in the bar so that I can be with them all the time.During my years working at No.2 Foreign Language Middle School, I had volunteered everything I could to help our foreign teachers and the department of International Affairs, both during working hours and off-hours.

As a man without any university credential, mostly self-taught through the years, I found myself having the potential to do it well. It will never be only a job for me, but my career.

How could I retreat from the challenge of being a river guide before having a try?

3、What am I good at ? How does it work to help me with my future job?

I am good at dealing with Americans, that will absolutely help me with my job as a river guide, since most of our guests are from the US.I have a very strong learning ability and I work hard. American people admire those self-made man, so do Chinese. Self-Learning has showed my tremendous discipline, and it is a lifelong learning process at this fast-changing world.

4、What is my weakness? How should I cope with it?

To be honest, I haven’t got 100% professional knowledge to be a river guide at this moment. However, I have been taking all means to get more about it. For instance, I’ve printed all the information I collected; I have the script of Yangtze lecture from our cruise manager; I have the books and DVDs about Yangtze, and I even ordered the book 《River Town》from the United States, etc. For sure, I will have known enough, by then, because I am starving to learn.5、Did I know anything about this job?

My two-year experience of being a bar waiter help me have a better understanding of this job. Being a river guide is mainly to assist the cruise manager and the assistant cruise manager of Viking. For example, instructor of Tai Chi in the morning, being at shore excursion, tutor of Mahjong class and Chinese lesson, updating the information board of the lobby every morning, interpreter for the doctor, daily broadcast, narration of the Gorges and Ship Lock whenever is needed and dealing with any contingencies onboard. All the things I listed above are what I have been expecting to do for a long time.

In a hazy morning, at our final port of call, the Dam Site. A group of Americans and I were standing on the bow of the ship. A guest started asking me questions about our local culture, suddenly, I was surrounded by the rest of them. I answered questions concerning China one after another, and I couldn’t help but feeling like a guide at that time. When I got back to clean the bar, I was a bit of disappointed because I wanted the pleasure of being a “guide” to go on and on, through the lovely morning into the evening.

I will never forget how happy I was when I got the tipping envelope with the words “Eric(Mahjong Teacher) ” on it the second morning. I will never forget how exited I was when the guests awarded me the gratuity of 2 dollars, for I just told them that:“the final water level will parallel your vision though the roof of the Sun Deck”. I also will never forget how surprised they(who live close to Yale) were after I told them the relations between China and Yale.

Replying to your advertisement…… Answering your advertisement…… Believing that there is an opportunity…… Thinking that there is a vacancy in your company…… Having read your ad……

1、(a)Replying to your recent advertisement in the Boston Evening Globe, I wish to apply for the position of sales manager……

(b)In applying for the position of sales manager I offer my qualifications, which I believe will meet your exacting requirements.

2、(a)I believe after reading your advertisement in this morning‘s Journal that you have just the opportunity I am looking for.(b)your advertisement in this morning‘s Journal for an adjustment manager prompts me to offer you my qualifications for this position

3、(a) Having read your advertisement in the New York Times for an accountant, I thought you might be interested in my application.(b)In your advertisement for an accountant, you indicated that you require the services of a competent person, with thorough training in the field of cost accounting. please consider me an applicant for the position. Here are my reasons for believing I am qualified for this work.

1、 hesitate to state a definite salary, but, as long as you have requested me to , I should consider 6,500 a month satisfactory.

2、Although it is difficult for me to say what compensation I should deserve, I should consider-a month a fair initial salary.

3、I feel it is presumptuous of me to state what my salary should be. My first consideration is to satisfy you completely. However, while I am serving my apprenticeship, I should consider-a month satisfactory compensation.

1、As for salary, I do not know what to say. Would$4,500 a month be too much?

2、Do you think I should be asking too much if I said 5000 dollars a month?

3、You know what my services are worth better than I do . All I want is a living wage.

If you think I can fill the position after you have read my letter, I shall be glad to talk with you.

(b)改写后(较佳): If my application has convinced you of my ability to satisfy you, I should welcome the opportunity to talk with you, so that you may judge my personal qualifications further.

If you‘re interested, let me know immediately, as I‘m sure and interview will convince you I‘m the man for the job.

May I have an interview? You can reach me by telephone at Taipei 884525 between the hours of 7-9 a.m. and 5:30-9:30p.m. any evening.

Hoping you will give me an interview, I am……(我希望您惠予面谈) Anticipating a favorable decision, I wait your……(等候您的佳音) Trusting your reply will be satisfactory, I remain(静候满意的答复)

4、哀求式的句子,不够完整(漏掉面谈时间): Won‘t you please give me the chance to interview your? I can be reached by calling Kenmore 69781.

May I have the opportunity to discuss this matter further with you? My telephone is Kenmore 69781. You can reach me between nine and five o‘clock during the day.

I am quite certain that an interview will substantiate my statements Between two and four every afternoon except Tuesday you can reach me by telephoning 731430.

May I have an interview? My residence telephone is (042) 4398. You reach me by calling that number until June 30. After July 2, my address will be Kent House, Bretton Woods, New Hampshire.

1、I think that I should probably make a good bookkeeper for you.

2、I am confident that my experience and references will show you that I can fulfill the particular requirements of your bookkeeping position.

3、I recently completed a course in filing at the Crosby School of Business. I am competent not only to install a filing system that will fulfill the needs of your organization, but I am also well qualified to operate it efficiently.

4、I feel quite certain that as a result of the course in filing which I completed at the Crosby School of Business, I can install and operate efficiently a filing system for your organization.
